Terms of Reference for Area Coordinators

Please note: These terms of reference are specific to the Institute Board of the Atlantic Provinces and are provided for information purposes.

The Area Coordinator promotes the institute process in his/her geographic area of responsibility. In order to best fulfill the functions described below the Area Coordinator:

- Keeps abreast and deepens on the guidance from the Universal House of Justice, the International Teaching Centre, the National Spiritual Assembly, the Bahá'í Council and the Institute Board regarding the institute process;

- Pursues his/her own path of learning and service by tutoring study circles and undertaking training pursuing the sequence of available courses.

Term of Service: 2 years

RELATIONSHIP WITH THE REGIONAL COORDINATOR

The Area Coordinator:

- Gathers data on the institute process and using report forms and guidelines provided by the Institute Board, communicates monthly this up-dated data to the Regional Coordinator. Information on the institute process includes such data as the names of participants in study circles, the books currently under study, numbers of non-Bahá'í participants, acts of service, the involvement of tutors, and recommendations for future Bahá'í human resource development;

- Uses information gathered and reports provided by the Institute Board to spur the advancement of the institute process in communities in his/her respective area;

- Ensures, through liaising with the Regional Coordinator that he/she has the information required to effectively carry out his/her responsibilities.

- Complies with the financial policies and reporting requirements of the Institute Board.

The Area Coordinator undertakes these tasks so as to assist the Regional Coordinator in preparing reports for the Institute Board, which will then be used to provide information to the National Spiritual Assembly, the Bahá'í Council, the Auxiliary Board and Local Spiritual Assemblies.

RELATIONSHIP WITH OTHER INSTITUTIONS

Working directly with Local Spiritual Assemblies, Assistants to the Auxiliary Board and groups, the Area Coordinator:

- Represents the Institute Board at Reflection meetings;

- Educates communities about the institute process, providing information about tutors and institute-related activities in their Cluster or Sectors;

- Encourages and supports institute-related activities undertaken by tutors, study circles, Assemblies and communities;

- Encourages Local Assemblies and groups to utilise available tutors in their areas and through them, to draw upon the members of active study circles for acts of teaching and service;

- Assists prospective pioneers to find opportunities for institute training;

- Consults with Assemblies and groups to determine training needs, to remove obstacles to the institute process;

- Refers institute process problems and conveys Assembly and group recommendations to the Institute Board via the Regional Coordinator;

RELATIONSHIP WITH TUTORS

The Area Coordinator:

- Encourages tutors to arise, to start Ruhí courses and study circles;

- Sits in occasionally on courses and study circles to encourage them and to get a better understanding of how the study circles are developing;

- Identifies potential new tutors and needs for the on-going up-grading of tutors' skills;

- After having participated in tutor-training sessions, completed Book 7 and having been recognized by the Institute Board as a tutor trainer, provides initial and on-going training for tutors in his/her area;

- Organizes conferences of tutors to facilitate the exchange of experience, the development and encouragement of tutors.

- Gathers success stories to be shared with the Institute Board and other Area Coordinators.
